## Title: Front Desk Officer

About the Role

An exciting opportunity has arisen for a motivated professional to join us as a Front Desk Officer. This role is central to ensuring excellent client experiences and maintaining smooth operations in our reception area.

Key Responsibilities

  • Coordinate and manage reception and waiting areas to ensure a suitable environment and welcoming ambience
  • Register clients by collecting, inputting, and verifying all necessary and accurate personal data
  • Process client payments in line with company policy, recording all transactions accurately
  • Maintain patient accounts by obtaining, recording, and updating personal and financial information
  • Guide clients politely to their scheduled procedures and examinations
  • Ensure proper filing and archiving of patient records in the expected format
  • Use checklists and job orders to track all processes and ensure proper client check-out
  • Refer clients to appropriate feedback channels and ensure their compliance
  • Anticipate guest needs and build positive rapport with customers
  • Protect patient rights by maintaining strict confidentiality of personal and financial information
  • Address customer complaints professionally and escalate to the Branch Operations Manager or Customer Experience Manager as needed
  • Ensure compliance with Standard Operating Procedures (SOP), safety, health, and quality standards
  • Maintain efficient patient registration flow by accurately and efficiently processing patients through the system
  • Interact with patients by answering questions, providing information, and maintaining an organized reception area
  • Maintain general filing systems and file appropriate correspondence electronically or manually
  • Generate and dispatch reports to support departmental goals and objectives
  • Ensure accurate product knowledge to provide relevant and timely information to clients
  • Process orders, forms, applications, and requests in a timely manner
  • Participate in training and learning opportunities to expand knowledge of the company and position
  • Perform Front Desk Officer duties for other branches when required
  • Perform other general administrative tasks as directed by your line manager

Required Qualifications

  • B.Sc. in Health Management, Basic Sciences, or related field
