Job Summary
Eye Foundation Hospital seeks a dedicated Executive Assistant to provide comprehensive administrative and executive support. The successful candidate will handle a wide range of responsibilities while working independently with minimal supervision. This role requires interaction with staff at all levels in a fast-paced environment, sometimes under pressure. The ideal candidate will demonstrate flexibility, proactivity, resourcefulness, and efficiency while maintaining the highest level of professionalism and confidentiality.
Expert-level written and verbal communication skills, strong decision-making ability, and meticulous attention to detail are essential for success in this position.
Key Responsibilities
- Manage executive calendars with heavy scheduling demands, coordinating complex meetings with internal and external executives, assistants, and consultants
- Answer phones and direct incoming calls to appropriate parties promptly and efficiently
- Manage incoming and outgoing electronic communications on behalf of senior leadership
- Assist with preparation of presentation materials and reports
- Review and summarize miscellaneous reports and documents; prepare background documents and outgoing correspondence as needed
- Assist in pipeline and forecast preparation and management
- Prioritize and manage multiple projects simultaneously, following through on issues in a timely manner
- Arrange travel schedules and reservations as needed, including expense reimbursement processing
- Coordinate and launch hardcopy or email campaigns to consultants, clients, and prospective clients
- Schedule tasks and coordinate with various team members
- Administer shared office resources, products, equipment, and services
- Perform additional duties as assigned
