Role Overview
We are seeking a highly organized and experienced Executive Assistant to provide comprehensive administrative and executive support to the Managing Director of an exploration and production company. The ideal candidate will be a proactive individual with strong interpersonal skills and meticulous attention to detail.
Key Responsibilities
- Manage the Managing Director's calendar, schedule appointments, and coordinate meetings with both internal and external stakeholders
- Serve as the primary point of contact between the Managing Director and internal teams, vendors, and business partners, ensuring clear and timely communication
- Provide comprehensive administrative and office management support to the Managing Director
- Maintain travel schedules and coordinate travel arrangements, including booking flights, accommodations, and visas
- Review all documents, reports, and correspondence prepared for executive signatures, ensuring accuracy in format, content, grammar, and spelling
- Organize and prepare materials for meetings, record minutes, and ensure timely follow-up on action items and deliverables
- Prepare and review internal and external presentations
- Prepare draft reports, background documentation, and conduct required research activities
- Receive, screen, and direct all inbound telephone calls, emails, and visitors to the Managing Director's office
- Troubleshoot and/or escalate office administration issues as needed
- Review, evaluate, and distribute priority correspondence for the executive team
- Facilitate communication with department managers, business unit leaders, and project managers
- Take and transcribe meeting notes
- Present a positive and professional image of the executive office to all visitors, suppliers, and other stakeholders
