## Title: Admin/Operations Specialist
About the Role
An exciting opportunity has arisen for a motivated professional to join our growing team. As we expand our impact, we need an organized and resourceful Admin/Operations Specialist to ensure internal processes run efficiently and all team functions are well-supported.
Objective
To manage daily administrative tasks and support the smooth functioning of internal operations, logistics, and team coordination across all departments.
Key Responsibilities
- Handle day-to-day administrative tasks, including scheduling, correspondence, and document management
- Coordinate team logistics (meetings, travel, office supplies, remote work tools, etc.)
- Maintain internal records, databases, and filing systems
- Support HR functions such as onboarding, timesheet tracking, and leave management
- Ensure compliance with internal procedures and vendor/service contracts
- Provide operational support during campaigns, events, or high-activity periods
Performance Metrics
- Efficiency and accuracy of administrative processes
- Timeliness in task completion and support delivery
- Internal team satisfaction with operational support
- Compliance with recordkeeping and operational standards
Reporting & Collaboration
- Reports to the Head of Operations and Head of Administration
- Works closely with all departments to support internal needs
- Administrative budgets, vendor payments, and compliance tasks require approval from relevant leads
Quality Control Expectations
- Well-maintained documentation and internal systems
- Reliable scheduling and communication processes
- High responsiveness to team support needs
Required Skills
- Excellent organizational and multitasking abilities
- Strong written and verbal communication skills
- Proficiency in MS Office/Google Workspace and administrative tools
- Familiarity with operations support, HR basics, or project coordination
- Proactive mindset and attention to detail
