Key Responsibilities: - Office Support:Perform general office duties, including filing, organizing documents, answering phone calls, and responding to emails. - Scheduling and Coordination:Assist in managing calendars, scheduling appointments, and coordinating meetings or events. - Data Entry and Record Keeping:Maintain and update databases and spreadsheets as needed to ensure accurate record-keeping. - Inventory and Supplies:Monitor office supplies and reorder as necessary; manage vendor relationships for office maintenance and supplies. - Document Preparation:Draft, proofread, and edit correspondence, reports, and presentations for internal and external use. - Visitor and Client Interaction:Greet visitors and direct them to the appropriate personnel, providing a welcoming atmosphere. - Support for Admin Tasks:Assist in tasks related to various departments as required, ensuring smooth administrative operations. - Special Projects:Provide support on various projects, such as organizing company events and assisting with employee onboarding processes. - Operational Support (Internal and External):Handle tasks that may requiretravel within the city for various errands or activities, ensuring smooth business operations both within and outside the office. Required Qualifications: - Education: Secondary school diploma or equivalent; additional qualifications as an Office Assistant or in administrative roles are a plus. - Experience: 1 - 2 years of relevant experience in an office environment. - Skills: - Strong organizational and multitasking abilities - Ability to work independently and as part of a team - Proficiency with office software (Microsoft Office Suite) - Excellent written and verbal communication skills - Basic understanding of office management systems and procedures - Resourceful, smart, and proactive approach to work.
