A reputable organization seeks a dedicated individual for this role. Role Summary
  • The Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional atmosphere. They handle incoming calls, manage front desk operations, and perform various administrative duties to support the smooth functioning of the organization
Desired Profile
  • Education:Diploma in Business Administration or equivalent;
  • Additional qualifications in Office Administration will be an added advantage.
Experience:
  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong verbal and written communication skills
  • Excellent organizational and multitasking skills 
  • Customer assistance
Duties & Responsibilities
  • Handling visitors in a professional and friendly manner
  • Answering, screening, and forwarding incoming phone calls
  • Maintaining the reception area, ensuring it is tidy and presentable
  • Receiving, sorting, and distributing daily mail and deliveries
  • Scheduling appointments and maintaining calendars
  • Assisting with administrative tasks such as data entry, filing, photocopying, and scanning
  • Providing basic and accurate information in person and via phone/email
  • Monitoring office supplies and placing orders when necessary
  • Maintaining visitor logs
  • Coordinating with internal departments and supporting staff as may be required
Key Competencies
  • Experience with office equipment (e.g., printers, fax machines, phone systems)
  • Knowledge of administrative and clerical procedures
  • Familiarity with scheduling and appointment management tools
