About the Role
A full-service, medium-sized law firm with diverse practice areas including litigation, real estate, corporate, and estates is seeking a highly organized and proactive Legal Administrative Assistant to join their administration team. Core Responsibilities
- Manage day-to-day administrative operations to ensure smooth office functioning
- Maintain proper records according to firm procedures and filing systems
- Maintain daily staff attendance registers
- Keep the office library register current and organized
- Receive and respond to calls and manage the office switchboard efficiently
- Communicate timely information and calls to advocates and their personal assistants
- Scan all incoming documents as required
- Ensure timely dispatch of documents and follow up on invoices and payments
- Prepare and process vouchers
- Supervise office cleanliness, hygiene, and sanitation standards
- Organize, diary, and schedule appointments and meetings for partners and staff members
- Coordinate meetings proactively and efficiently
- Oversee operational and administrative tasks to maintain optimal office function
- Prepare meeting briefs, minutes, and reports in a timely manner
- Handle reception and corporate communication via phone, email, and online platforms following established protocols
- Perform secretarial duties including typing and drafting documents for staff members
- Prepare petty cash accounts and administrative budgets
- Follow up on resource utilization reports
- Ensure timely payment of partner and firm subscriptions and bills
- Coordinate logistical aspects for partners as needed
