## Title: Procurement Officer

About the Role

We are seeking a dynamic Procurement Officer to join our expanding team. You will be responsible for managing procurement activities, supplier relationships, and logistics operations to ensure timely and cost-effective delivery of supplies and services.

Main Duties and Responsibilities

Procurement Management

  • Process service requests (SR's) with proper authorization and in compliance with donor-specific rules
  • Procure supplies and services as per specifications, including vehicle hire, accommodation, conferences, visibility materials, office consumables, furniture, and IT equipment
  • Update the SR tracker on a weekly basis, clearly indicating procurement status for all actioned procurements
  • Source quotations through RFQs/RFPs and prepare Quotation Evaluation Forms (QEF's)
  • Ensure proper review and authorization by budget holders in accordance with approved Delegation of Authority (DOA) and compliance with technical specifications, delivery schedules, and payment terms
  • Liaise with suppliers as needed throughout the procurement process
  • Process invoices accurately upon completion of service or delivery of supplies
  • Update invoice and SR trackers in real-time
  • Complete payment requests and coordinate with Finance to ensure timely supplier payments
  • Ensure timely purchase and delivery of equipment and emergency requests in accordance with organizational policies and procedures
  • Maintain soft copy and hard copy filing for logistics and procurement documents
  • Participate in supplier evaluations, assessments, prequalification, and market surveys
  • Provide support in the establishment of approved supplier lists

Person Specification

Minimum Education and Qualifications

  • Degree in Logistics, Procurement, Supply Chain Management, or related field
  • Professional certification in procurement and logistics or supply chain management
  • Relevant procurement experience
