## Title: Legal Clerk

About the Role

A dynamic team is expanding and looking for the right talent to join as a Legal Clerk. This is a key administrative and operational position that ensures the smooth functioning of the office.

Core Duties and Responsibilities

  • Ensure day-to-day office activities run smoothly and efficiently
  • Maintain daily staff attendance registers and office records according to firm procedures
  • Keep the office library register up to date
  • Receive and respond to calls and manage a busy switchboard
  • Serve as liaison between advocates and their Personal Assistants, conveying relevant emails and calls in a timely manner
  • Ensure timely dispatch of documents and follow up on invoices and payments
  • Scan all incoming documents as required
  • Prepare and write vouchers and manage petty cash administration
  • File and maintain proper records of all documents
  • Supervise office cleaning, hygiene, and sanitation standards
  • Organize and schedule appointments and meetings for partners and staff members in a proactive and efficient manner
  • Coordinate meeting logistics and prepare briefs, minutes, and reports in a timely manner
  • Oversee operational and administrative tasks to ensure optimal office functioning
  • Handle reception and corporate communication via calls, emails, and online platforms according to established protocols
  • Manage mail, phone calls, and other corporate communication tools appropriately
  • Perform various secretarial duties including typing and drafting for staff members as required
  • Monitor resources utilization reports and administrative budgets
  • Ensure timely payment of subscriptions, bills, and other firm obligations
  • Coordinate logistical arrangements for partners and office team, including accommodation, travel, visas, and transfers
  • Act as key liaison contact between the office and various stakeholders
