## Title: Order Processing Officer – Korem Project
Position Purpose
To perform day-to-day order processing activities at the supply office project level according to MSF protocols and standards, ensuring optimal mission and project operations.
Key Responsibilities
- Perform day-to-day order processing activities, ensuring efficient running of operations at supply office coordination level following MSF supply procedures and protocols
- Manage the supply database and ensure correct filing and archiving of supply documents to guarantee availability and coherence of supply data
- Process all orders and requests, communicating regularly with clients regarding status updates including: order receipt, approval stage, confirmation, RTS monitoring, backorders, and lead times
- Report supply-related problems to line management
- Provide detailed information about orders to the purchaser/procurement supervisor before quotation collection to ensure correct item procurement
- Follow up with warehouse team and purchaser to ensure supply lead times are respected
- Perform delegated tasks as specified in job description
Software and System Responsibilities
- Encode validated internal requests in Unifield upon receipt and validate in the system
- Source requested items from stock and share relevant documents and delivery locations with storekeepers
- Check stock availability before encoding orders to minimize non-available open documents in Unifield
Communication and Coordination
- Receive internal requests (IRs) from requesters and request clarification when specifications are incomplete
- Support requesters in selecting correct codes and descriptions for Digital IRs
- Ensure all required signatures or mail validations are properly collected
