Administrative SupportProvide general office support to managers and staffPrepare letters, memos, and reportsHandle photocopying, scanning, and filing documentsMaintain office records (physical and electronic)Receive and distribute incoming mailDocument Control & FilingOrganize project files (contracts, drawings, invoices, purchase orders)Maintain proper filing system for site and head office documentsTrack document movement between departmentsEnsure confidential documents are safely storedCommunication & Front Desk DutiesAnswer phone calls and direct them to appropriate staffReceive visitors, clients, suppliers, and subcontractorsSchedule meetings and prepare meeting roomsTake meeting minutes when requiredSupport to Project & Finance TeamAssist in preparing payment requestsSupport procurement documentation (LPOs,quotations) Help follow up on approvals and signaturesRecord daily attendance or timesheets (if assigned)Office Supplies & LogisticsMonitor and request office stationeryKeep record of office equipment usageCoordinate courier servicesSupport travel and accommodation arrangementsCompliance & Record KeepingEnsure documents follow company format and policyMaintain updated employee or project filesAssist during audits by organizing required documents
