Position Summary
We are seeking a highly organized Receptionist to serve as the first point of contact for our clients and visitors. In this vital role, you will create a welcoming and professional atmosphere while managing front desk operations.
Key Responsibilities
Reception & Guest Management:
- Greet and attend to visitors, clients, regulators, and contractors in a professional manner
- Serve as the first point of contact, representing the company professionally
- Ensure visitors sign in/out and are directed to the appropriate department
Communication Handling:
- Manage incoming and outgoing calls, emails, and correspondence
- Relay messages promptly to the appropriate staff
Administrative Support:
- Maintain front desk records (visitor log, courier log, etc.)
- Handle incoming and outgoing mail, parcels, and courier services
- Provide clerical support (typing, photocopying, scanning, filing)
Scheduling & Coordination:
- Assist with meeting room bookings and preparation
- Support scheduling of appointments and calendar management
Customer Service & Representation:
- Handle basic client inquiries and direct complex queries to the appropriate team
Facility & Office Support:
- Ensure the reception area and front desk are neat, welcoming, and presentable
- Support administrative team with logistics coordination when necessary
Required Qualifications
- OND, HND, or Bachelor's Degree in any related field
- Previous receptionist or administrative experience
- Excellent verbal and written communication skills
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office Suite
- Professional appearance and demeanor
- Ability to handle sensitive information with discretion
