## Title: Office Manager

About the Role

We are seeking a dynamic Office Manager to join our expanding team. This role combines financial management with administrative oversight, requiring strong accounting skills and operational expertise across multiple business functions.

Financial Responsibilities

  • Prepare and post receipts, deposits, purchase orders, requisitions, invoices, refunds, and other standard bookkeeping tasks
  • Manage accounts receivable and accounts payable
  • Oversee stock accounts and office supplies inventory
  • Manage company liabilities including insurance premiums and related obligations
  • Prepare, file, and maintain records of company tax invoices, payments, and financial documents
  • Review and process employee reimbursements
  • Coordinate with tax advisors and ensure compliance with tax filing requirements
  • Prepare, track, and reconcile ledgers and budgets
  • Create financial and inventory reports
  • Identify and correct miscalculations and financial discrepancies
  • Maintain and update accounting databases
  • Manage cash flow operations and internal controls for accounts payable and receivable
  • Conduct weekly and monthly reconciliation of all financial services

Administrative Responsibilities

  • Process and manage payment of all office and apartment utility bills (electricity, internet, phone, waste disposal, DSTV, diesel, fuel, etc.)
  • Manage subscription updates and coordinate computer system upgrades
  • Maintain operational relationships throughout the organization and provide timely solutions to identified issues
  • Ensure prompt escalation and resolution of matters requiring support
  • Ensure knowledge of and compliance with safety regulations and facility maintenance procedures
  • Respond promptly to operational requests and concerns
  • Develop and streamline operational efficiencies
  • Implement energy-saving and sustainability initiatives

Key Requirements

  • Strong accounting and bookkeeping skills
  • Proficiency in financial operations and cash flow management
  • Experience with accounts payable and receivable management
  • Knowledge of tax compliance and filing requirements
  • Familiarity with safety regulations and facility maintenance procedures
  • Excellent organizational and multitasking abilities
  • Proficiency with accounting databases and software
  • Strong attention to detail and accuracy
