Position Purpose

Under the supervision of the Pharmacist, the Medical Warehouse Quality Assurance Officer supports the implementation of defined medical quality assurance tasks, specific procedures, and instructions related to medical warehouse activities. This role ensures compliance with the Good Storage and Distribution Practices (GSDP) of the World Health Organization (WHO) and is responsible for quality control of incoming medical goods.

Key Responsibilities

• Closely supervise physical inspections and perform quality control of purchased and received medical items
• File complaints if needed and maintain collected samples for reference purposes
• Follow up on regulatory protocols linked to the reception of medical items at the warehouse
• Support warehouse staff in creating supplier complaints and recording deviations
• Participate in investigating deviations, including inventory discrepancies and customer complaints
• Help identify and implement corrective and preventive actions (CAPA)
• Facilitate continuous compliance with WHO's GSDP standards, including risk management of mix-ups and segregation of items requiring specific management such as narcotics and hazardous substances
• Monitor and maintain environmental controls including routine temperature monitoring, cleaning, and pest control
• Prepare periodic quality reports on warehouse activities, deviations, complaints, and quality-related information for the Pharmacist's annual quality review
• Ensure outsourced activity schedules are respected, such as maintenance, calibration of equipment, and pest control services
• Support the management of controlled drugs in the warehouse and disposal of medical products
• Ensure timely recording of specific information including temperature data and cold chain breakdowns
• Facilitate and provide relevant training to warehouse staff
