Import & Export Officer at Ascentech Services Limited

About the Role

Ascentech Services Limited is seeking a qualified Import & Export Officer to manage international shipping operations across export and import cycles, ensuring compliance with customs regulations and coordinating with logistics partners.

Export Operations (Warehouse to Port)

• Maintain all export documents and ensure they are current and compliant
• Verify and open NXP and booking confirmations
• Prepare outbound shipments by verifying product availability, packaging, labelling, and export readiness
• Organize insured transport by booking trucks or containers, confirming insurance coverage, and coordinating pickup schedules
• Generate and validate export documentation including packing lists, commercial invoices, certificates of origin, and customs forms
• Supervise physical loading, verify seals, and coordinate dispatch reporting
• Monitor delivery to port, track transit status, address delays or incidents, and liaise with clearing agents

Import Operations (Port to Warehouse)

• Maintain all import documents to ensure they remain current and compliant
• Receive and process inbound documentation including bills of lading, supplier invoices, insurance certificates, certificates of origin, quality and quantity reports, fumigation certificates, and customs clearance forms
• Coordinate with clearing agents to ensure timely and compliant customs clearance processing
• Arrange insured delivery from port to warehouse and validate vehicle compliance
• Supervise warehouse unloading, verify quantities and condition of goods, and complete receiving reports

Administrative & Compliance Responsibilities

• Ensure compliance with customs and regulatory requirements by maintaining awareness of import/export laws
• Maintain digital and physical records including transit documents, clearance files, and insurance certificates
• Coordinate with external partners including customs authorities, shipping lines, clearing agents, transporters, warehouse companies, and insurance providers
• Manage transport insurance by verifying coverage and initiating claims when necessary
