Job Summary

The Front Desk Officer serves as the face of Meridiem Eye Clinic, providing exceptional customer service and administrative support. This position is responsible for attracting and assisting potential customers by answering product and service questions, registering new patients, and ensuring customer satisfaction. The Front Desk Officer manages patient flow, coordinates scheduling, and handles various administrative duties to support the clinic's operations.

Key Responsibilities

• Answer product and service questions and suggest relevant information about other products and services
• Register new patients and prepare necessary correspondences
• Facilitate patient flow by notifying staff of patient arrivals, monitoring delays, and communicating with patients and clinical staff
• Answer all incoming calls, schedule appointments, screen calls, and forward to appropriate departments or units
• Provide information to clients regarding insurance, co-pay, and other coverage details
• Communicate promptly and courteously with customers by telephone, email, letter, and face-to-face
• Investigate and resolve customer problems and complaints
• Call patients to notify them when glasses are ready, and manage appointment changes and rescheduling
• Perform cashier and store keeper duties
• Type medical reports and produce written information for customers using appropriate software
• Record details of inquiries, comments, complaints, and actions taken
• Assist with general office administration functions and prepare outgoing correspondence
• Sell frames, lenses, and accessories to customers
• Assist patients in selecting appropriate eyewear based on their budget and needs
• Discuss customer needs, occupations, and hobbies to recommend frames suited to their lifestyle
• Conduct weekly inventory of frames and accessories
• Enter eyeglass, lens, contact lens, and accessories orders in the sales book
• Stay informed of developments in customer service best practices
