Administrative Logistic Officer at JMG

Brief Description

The Logistics Administrative Officer will support the Transport Division by maintaining accurate journey data, managing system records, tracking operational activities, processing document renewals, and overseeing contract management. This role ensures that all trips, costs, and compliance records are properly captured to enable operational planning, analysis, and performance reporting.

Key Responsibilities

• Manage all data entries, trip creation, approvals, and workflow mapping within the Journey Management App
• Update routes, kilometer benchmarks, trip types, delivery points, and return-to-base sequences
• Ensure all client pricing, rates, and contract terms are correctly uploaded and maintained in the system
• Maintain accurate trip logs for all departments in compliance with JMG journey policies
• Capture and update kilometer per route, delivery zones, and expected mileage standards
• Record and validate diesel consumption, fueling entries, and reconcile actual usage with expected kilometers
• Upload and track journey expenses including tollgate fees, escort receipts, driver allowances, and workshop emergency expenses
• Support the Transport Analyst in generating Cost-Per-Kilometre (CPK) and route expense analysis reports
• Maintain accurate records of vehicle status, drivers, geo-fences, and alert settings
• Monitor operational exceptions including deviations, night movements, over-speeding, and unauthorized stops
• Log incidents and escalate critical alerts to the Transport Analyst and Operations Team
• Process and follow up on fleet document renewals including vehicle licenses, roadworthiness certificates, insurance policies, permits, regulatory papers, and driver licenses
• Maintain a renewal calendar with reminders to ensure 100% compliance with all regulatory requirements
• Process accident, damage, and third-party insurance claims
• Coordinate with insurance companies, workshops, and internal departments on claims and documentation
