About the Role
We are seeking a qualified Administrative Officer to join our team and support our daily office operations. A successful candidate will serve as a key point of contact for all employees, providing comprehensive administrative support and managing inquiries efficiently.
Key Responsibilities
- Record, file, and approve documents and memos with proper documentation
- Maintain and update company databases
- Prepare reports and presentations with statistical data as assigned
- Process exit passes and waybills for trucks and personnel allocated to the Oil & Gas section
- Execute General Manager's directives as assigned
- Organize and maintain filing systems for important and confidential company documents
- Send daily reports on truck availability for fueling to the secretariat
- Conduct monthly reconciliation of stationary tank inventory
- Reconcile tire inventory and submit requests as needed
- Monitor truck movements and prepare schedules for truck servicing
- Ensure effective post-trip inspections and address truck driver complaints
- Manage office stock and supplies
- Prepare regular reports on expenses and office budgets
Requirements
- Bachelor's degree (additional qualification in Office Administration is a plus)
- Proven work experience as an Administrative Officer or similar administrative role
- Strong organizational skills with a problem-solving attitude
- Excellent written and verbal communication skills
- Attention to detail
- Working knowledge of office equipment and office management tools
- Proficiency with office management software, particularly MS Excel and MS Word

The ideal candidate will have previous experience in office administration and the ability to ensure administrative activities run smoothly on both a daily and long-term basis.
