Job Summary
The Procurement Officer is responsible for sourcing, negotiating, and purchasing quality materials, equipment, and services required for company operations and projects. The role ensures timely supply, cost efficiency, compliance with procurement policies, and strong vendor relationship management to support seamless project execution.
Key Responsibilities
- Process purchase requisitions from various departments and convert them into purchase orders
- Source reliable vendors and obtain competitive quotations, proposals, and bids
- Assist in negotiating terms and prices with vendors for routine purchases under the guidance of the Team Lead
- Assist in the vendor profiling process by collecting company information, capabilities, and product/service offerings
- Support the vendor vetting process by conducting initial screenings, collecting necessary documentation (certificates, tax clearance), and performing reference checks
- Participate in vendor appraisal by monitoring and reporting on vendor performance, including on-time delivery and quality of goods
- Check all purchase requests against departmental budgets and alert the Team Lead of any potential budget exceedances
- Maintain accurate records of purchases and pricing to support budget tracking and reporting
- Maintain an organized filing system for all procurement documents (POs, invoices, contracts)
- Ensure all procurement activities are fully documented and comply with company approval limits and policies
- Liaise with the accounts department to facilitate smooth processing of vendor payments
- Update and maintain the procurement tracker and vendor database
- Prepare weekly status reports on pending and completed orders
Qualifications & Requirements
- Bachelor's degree in Supply Chain Management, Business Administration, Procurement, or related field
- Minimum of 2–4 years of experience in procurement
