## Title: Procurement Assistant

Position Overview

The Procurement Assistant will support the procurement team in sourcing, purchasing, and contract management. This 6-month position offers hands-on experience in procurement processes while contributing to the organization's operational efficiency.

Key Responsibilities

  • Assist with procurement processes, including tendering and bidding
  • Support contract management and vendor selection
  • Conduct market research and supplier identification
  • Process purchase orders and invoicing
  • Maintain procurement records and databases with accurate documentation
  • Perform document photocopying, scanning, and archiving of procurement files
  • Receive and log incoming goods
  • Ensure proper filing and organization of all procurement documents for easy retrieval
  • Request and collect feedback regarding supplier performance and update supplier files
  • Expedite suppliers to ensure timely delivery of goods and services and address any delays or issues
  • Maintain and update asset inventory with accurate records for office equipment and supplies
  • Ensure proper documentation and filing of logistics documents for audit readiness
  • Support inventory management and stock control
  • Assist with procurement reporting and compliance
  • Coordinate with suppliers regarding field goods dispatch and required documentation
  • Follow up internally between the Procurement, Logistics, and Finance departments on procurement-related transactions
  • Support the asset disposal process in accordance with organizational policies and procedures
  • Perform data entry and update databases, ensuring accuracy and completeness of information
  • Complete assigned tasks as requested by the organization
