Order Processing Administrator at MAXUT Consulting Limited

Job Summary

MAXUT Consulting Limited is seeking a dynamic Order Processing Administrator to manage end-to-end customer order processing, order fulfillment through OEM partners, and annual software license renewals. This role ensures the smooth delivery of MAXUT's 2FA and cybersecurity hardware and software licenses to customers while maintaining accurate support and maintenance contracts. The successful candidate will ensure timely processing of client orders, accurate information management, and proactive service renewal management.

Key Responsibilities

Order Processing

• Receive, validate, and process customer orders and service requests based on Purchase Orders (POs) and instructions from the MAXUT Finance Officer
• Ensure all orders comply with company policies, commercial terms, and SLA agreements
• Coordinate with the finance team to place orders with OEM partners based on OEM quotes, ensuring proper documentation and compliance with commercial terms

Shipment Management

• Prepare shipping documents and liaison with OEM order management teams and MAXUT nominated clearing agents
• Complete necessary official paperwork including Form M, Packing Lists, SONCAP Inspection documents, and Proforma Invoices where applicable
• Track order status and shipment dates with the OEM to ensure adequate preparations for order delivery
• For software license-only orders, ensure technical contacts, project teams, and end customers are informed of license delivery
• Track shipments from OEM to Nigeria and onward to MAXUT local store
• Maintain accurate order records for hardware and software tokens on a client-by-client basis
• Coordinate with finance, sales, and technical teams to ensure proper billing, provisioning, and service delivery

Service Renewal Management

• Track and manage upcoming contract and service renewal dates and product licenses
