Job Summary
The Facility Officer is responsible for overseeing the day-to-day operations, maintenance, and management of the company's physical premises. This role encompasses building maintenance and appearance, occupant satisfaction, and vendor/contractor management to optimize operational costs.
Key Responsibilities
- Supervise maintenance work and cleaning operations at the facility
- Inspect building structures and determine repair needs
- Verify completion of agreed work by staff or contractors and follow up on any deficiencies
- Respond appropriately to emergencies and urgent issues
- Maintain general safety and security, monitor access, and preserve the appearance and environment of company facilities
- Initiate and review maintenance plans and specifications to ensure requirements are met
- Supervise renovations and additions
- Provide timely feedback to Head of Facilities regarding performance
- Oversee grounds keeping activities
- Maintain an updated asset register
- Ensure the building meets environmental, health, and safety requirements
- Coordinate and lead teams covering various areas of responsibility, supervising multi-disciplinary staff including maintenance, grounds, and custodial workers
- Assist in procurement and contract management
- Manage lease agreements
- Facilitate training for custodial staff
Performance Indicators
- Overall facility outlook (lighting, security, cleanliness)
- Accurate record keeping of customer complaints and quick turnaround time in responding to resident inquiries
- Wastage reduction and timely feedback to Head of Facilities with prompt repairs and replacements
- Resident retention levels
- Customer service quality and feedback
- Asset maintenance standards
- Cost reduction achievements
