Executive Assistant to the CEO at mDoc Healthcare

About the Role

We are seeking a world-class Executive Assistant to the Founders to provide strategic, operational, and administrative support to the leadership of a fast-growing digital health and AI-enabled organization operating across multiple geographies.

This is not a traditional administrative role. It requires exceptional judgment, ownership, attention to detail, confidentiality, and the ability to manage complex priorities in a fast-moving environment. The right candidate anticipates needs before they arise, thrives under pressure, communicates crisply, and ensures the Founders' time, focus, and execution are aligned with organizational priorities.

Key Responsibilities

Executive Support & Time Leadership

• Manage complex calendars across multiple time zones and proactively resolve conflicts
• Ensure the founders are fully briefed and prepared for meetings, including pre-read documents, talking points, and follow-up actions
• Drive time prioritization based on strategic priorities and protect focus time
• Manage sensitive communications and maintain strict confidentiality

Communications & Coordination

• Draft high-quality emails, memos, and presentations on behalf of the founders
• Serve as the primary liaison between the founders and internal and external stakeholders, ensuring timely, professional, and accurate communication
• Follow up on open items and action points with teams to ensure timely execution

Operational Excellence

• Build and manage systems that improve the efficiency of the founders' workflows, including trackers, dashboards, document management, and meeting notes
• Coordinate travel logistics end-to-end across multiple countries
• Maintain organized records, files, and documentation across platforms
• Support special projects requiring precision and attention to detail
