Job Summary
The Administrative Assistant will provide administrative support to ensure the efficient operation of the office. This role involves managing day-to-day tasks, coordinating activities, and maintaining confidentiality.
Key Responsibilities
- Manage calendars, schedule appointments, and arrange meetings
- Coordinate travel itineraries, bookings, and expense reports
- Handle incoming and outgoing correspondence (emails, letters, faxes)
- Respond to inquiries, redirect calls, and take messages
- Prepare, edit, and format documents, reports, and presentations
- Maintain accurate records, files, and databases
- Order supplies, manage inventory, and track expenses
- Ensure office equipment is in good working order
- Provide support to colleagues and executives
- Assist with special projects and tasks as needed
- Maintain organized filing systems (physical and digital)
- Ensure compliance with office policies and procedures
- Handle sensitive and confidential information with discretion
Requirements
- OND, BSc, or BA degree in business administration, secretarial duties, or related field
- 1–2 years of experience in administration or office management
- Strong organizational and time management skills
- Excellent communication and interpersonal skills
- Proficiency in office software (MS Office, Google Workspace)
- Attention to detail and ability to multitask
- Ability to maintain confidentiality and handle sensitive information
