## Title: Administration and Customer Service Manager

Position Overview

Join a dynamic, expanding team as an Administration and Customer Service Manager. In this role, you will supervise daily operations, develop efficient administrative procedures, and serve as the key liaison between clients and the organization. You will manage customer inquiries, complaints, and billing matters while maintaining exceptional service standards.

Customer Service Responsibilities

  • Manage client requests and respond to questions and complaints via telephone, email, and in-person communication in a timely manner
  • Ensure customer retention and work to increase the customer base
  • Take inquiries from patients or their relatives regarding services, pricing, and operations
  • Attempt to resolve and de-escalate issues in a calm and professional manner
  • Provide exceptional service resulting in customer satisfaction
  • Maintain a detail-oriented and friendly attitude when communicating with clients
  • Appropriately schedule patient appointments for consultations, evaluations, treatments, follow-ups, and re-evaluations

Administrative Responsibilities

  • Supervise daily operations of the company and plan the most efficient administrative procedures
  • Plan and coordinate administrative procedures and systems to streamline processes
  • Receive, dispatch, and disseminate official correspondence
  • Identify procurement needs and ensure the availability of necessary supplies for the facility, including reception, departments, kitchen, and wards
  • Ensure effective planning and execution of operations by reducing waste levels
  • Maintain the facility and office premises in optimal condition

Records and Database Management

  • Keep proper records and maintain an updated customer and client database
  • Maintain logs and records of calls, hard copies of patient files, billing activities, and other relevant information
  • Open patient files for newly registered patients and allot hospital and medical record numbers
  • Retrieve patient files when clients return for follow-up appointments
  • Ensure that all discharged patients are properly followed up by primary clinicians
  • Maintain and update patient medical records
