About the Role
The Senior Grant Officer is responsible for managing project budgets from preparation through activity implementation, including donor financial reporting and project close-out. This position requires oversight of monthly Budget Variance Analysis (BVA), review and authorization of financial transaction documents, and verification of system postings to ensure compliance with donor and organizational requirements. The role involves close collaboration with the Programme Unit and other stakeholders to ensure smooth project execution.
Key Responsibilities
- Develop robust project budgets in collaboration with programs for new business development (NBD) for each channel's cost centre using the approved MSI internal budget template
- Properly phase all approved donor budgets by Channel/DRL in collaboration with programs using internal phasing templates and transfer to the MSI project upload template for system upload within set timelines
- Monitor all project-related expenses by validating and providing donor/account codes on all submitted requests (PRF/PR) to prevent recording errors and overspending
- Use the PRF tracker to track all approved requests in the procurement pipeline that are pending submission to finance for system posting
- Review and approve all recoding journals and ensure they are properly saved in the recoding month folder before posting to the system
- Maintain up-to-date BVA/PFR for each project with all required tabs and sections properly completed, including detailed and quantifiable variance commentary
- Prepare consolidated summaries showing project status by project and channel
- Prepare error-free donor reports and submit to the Finance Manager for approval two days before MSI deadline
- Provide project status reports for all projects as required
