## Title: Secretary & Immigrations Desk Officer

About the Role

We are seeking a highly organized and detail-oriented Secretary & Immigrations Desk Officer to provide dual-function support to our C-Suite leadership. This unique role combines high-level executive administration with specialized oversight of immigration compliance, expatriate welfare, and telecommunications management, ensuring seamless global travel, regulatory compliance for our international workforce, and uninterrupted connectivity for the leadership team.

Key Responsibilities

  • Manage executive calendars, schedule meetings, and organize travel arrangements, including visa and immigration-related documentation
  • Liaise with immigration service providers to ensure timely processing of work permits, visas, and compliance with regulations
  • Oversee contracts, service agreements, and account management with telecommunication service providers to ensure seamless connectivity
  • Prepare and review correspondence, reports, and presentations for executive decision-making
  • Maintain accurate and confidential records, ensuring timely quota filing and document retrieval
  • Perform monthly travel desk cost reconciliation to establish accurate balances and payables to consultants
  • Manage expatriates and family medical coverage, including cost management, bill reconciliations, and monthly payments
  • Liaise with hospitals and expats for verification purposes as needed
  • Track, report on, and manage CERPAC permit renewals following appropriate HR and Business Head approvals

Required Qualifications

  • Bachelor's degree in Business Administration, Secretarial Studies, or a related field
  • Minimum 3–5 years of experience as an Executive Assistant or Secretary supporting senior executives
  • Strong organizational and multitasking skills with meticulous attention to detail
  • Excellent verbal and written communication skills

Preferred Qualifications

  • Knowledge of immigration processes and vendor contract management
  • Professional certifications (e.g., PA/EA Certification)
