Role Summary
The Procurement Officer is responsible for managing the sourcing, purchasing, and inventory of all goods and services required by the hotel. This role ensures that all departments receive quality supplies and equipment in a timely and cost-effective manner.
The ideal candidate should have prior experience in hotel procurement, strong negotiation skills, and the ability to maintain supplier relationships while ensuring compliance with hotel policies and industry standards.
Key Responsibilities
Procurement Oversight
- Source and purchase quality goods and services, ensuring cost-effectiveness and timely delivery
- Maintain and update a database of approved suppliers and vendors
- Negotiate contracts, pricing, and payment terms with suppliers to secure favorable deals
- Review and analyze purchase requisitions for accuracy and completeness
Vendor and Supplier Management
- Build and maintain strong relationships with reliable suppliers and service providers
- Conduct vendor evaluations and performance reviews periodically
- Ensure supplier compliance with hotel standards and legal requirements
- Handle disputes or non-performance issues with vendors swiftly and professionally
Inventory and Stock Control
- Monitor stock levels and place orders to avoid shortages or overstocking
- Work closely with the storekeeping team to ensure proper storage and inventory tracking
- Implement inventory control systems to manage usage and reduce waste
Coordination and Communication
- Liaise with kitchen, housekeeping, maintenance, and other departments to understand procurement needs
- Communicate procurement timelines and delivery updates to relevant stakeholders
- Collaborate with the finance team on budget alignment and invoice processing
Compliance and Documentation
- Ensure all procurement processes adhere to internal policies and regulatory standards
