## Title: Group HR and Administration Manager

About the Role

We invite applications from suitably qualified candidates for the position of Group HR and Administration Manager. This role encompasses oversight of human resources operations, administrative functions, and facility management across multiple sites.

Key Responsibilities

Human Resources & Personnel Management

  • Establish, maintain, and control personnel records, employee files, correspondence, reports, and organization charts
  • Prepare source documentation for new hires and process effective changes in pay, status, and benefits
  • Create new employee profiles and manage payroll placement procedures
  • Maintain current and accurate employee files, handling status changes in a timely manner
  • Oversee onboarding, employee relations, payroll, performance management, and learning and development initiatives
  • Provide assistance in monitoring the employee performance appraisal process
  • Monitor staff compliance with punctuality, dress code, and ID card display requirements; identify non-compliant staff for management review

Employee Relations & Benefits Administration

  • Manage sensitive and confidential matters including personnel relations, employee relations, and organizational changes
  • Maintain health insurance and pension scheme administration
  • Interpret, advise, and assist employees and managers regarding cooperative agreement applications, leave management, benefit administration, and HR procedures and policies
  • Protect the security of information, data, and files according to organizational guidelines

Administrative & Facility Operations

  • Oversee daily department operations across all sites
  • Oversee fueling and servicing of generator sets at all sites
  • Review daily operational activities and ensure proper documentation
  • Ensure servicing and fueling proposals are well-prepared before forwarding to the Audit department
  • Ensure collated forms from engineers are signed timely and tracked through to monthly clearance
  • Ensure clearance forms from the operations unit are presented timely and accurately
  • Negotiate with vendors for cost-effective solutions
  • Monitor inventory in the store unit, particularly servicing materials and vehicle parts

Required Competencies

  • Strong knowledge of HR procedures, policies, and best practices
  • Excellent organizational and administrative skills
  • Ability to manage multiple priorities and operations simultaneously
  • Proficiency in record management and documentation
  • Strong communication and interpersonal skills
  • Ability to handle sensitive and confidential information with discretion
  • Vendor negotiation and procurement experience
  • Attention to detail and accuracy in administrative tasks
  • Knowledge of payroll, benefits administration, and employee relations
  • Stay current with HR issues and best practices
