## Title: Front Desk and Administrative Personnel

Job Summary

We are seeking a qualified candidate to fill the position of Front Desk and Administrative Personnel. The successful candidate will undertake all receptionist and clerical duties at the main entrance desk of the school. Acting as the first point of contact, this role will welcome visitors, staff, and pupils while providing essential administrative support to the school community.

Key Responsibilities

  • Welcome, receive, and sign in staff, pupils, parents, school governors, visitors, and other stakeholders
  • Manage the school entry system for staff, pupils, parents, and visitors
  • Operate the school's main telephone system, transfer calls, and take and deliver messages
  • Manage the school's primary inbox, reply to messages, forward correspondence, and schedule staff appointments
  • Create and maintain a professional atmosphere in the front office
  • Handle incoming calls in a pleasant and professional manner
  • Manage correspondence between the school, parents, and prospective parents
  • Identify and assess visitors' needs to ensure satisfaction
  • Build sustainable relationships and trust with parents, pupils, and colleagues through open and interactive communication
  • Provide accurate, valid, and complete information during inquiries
  • Handle parent complaints professionally, provide appropriate solutions and alternatives within agreed timeframes, and follow up to ensure resolution
  • Keep detailed records of parent interactions and process and file documents appropriately
  • Participate in the school admission process
  • Undertake other duties as directed

Required Qualifications

  • Bachelor's degree in Humanities or any Social Sciences from a reputable university
  • Minimum two (2) years of work experience within an administrative team

Required Competencies

  • Good command of written and spoken English
  • Strong phone contact handling skills and active listening abilities
  • Proficiency with Microsoft Office applications
