Position Overview
The Executive Assistant provides high-level administrative, operational, and strategic support to ensure the efficient functioning of the executive office. This role requires exceptional organizational skills, discretion, proactive problem-solving, and the ability to manage complex schedules and priorities in a fast-paced environment. The Executive Assistant serves as a trusted partner, gatekeeper, and liaison between the executive and internal and external stakeholders.

Chief Executive Officer / Co-Founder
Key Responsibilities
Executive Support
- Manage and maintain complex calendars, scheduling meetings across multiple time zones
- Coordinate domestic and international travel, including itineraries, accommodations, and expense reporting
- Prepare, edit, and review correspondence, reports, presentations, and briefing materials
- Act as a gatekeeper, prioritizing communications and requests to optimize executive time
- Anticipate executive needs and proactively address issues before they arise
Communication & Liaison
- Serve as the primary point of contact between the executive and internal teams, board members, clients, and external partners
- Handle sensitive and confidential information with the highest level of discretion
- Draft and manage communications on behalf of the executive when appropriate
- Facilitate effective communication across departments
Meeting & Project Management
- Plan and coordinate meetings, board meetings, and off-site events
- Prepare agendas, take meeting minutes, track action items, and ensure follow-through
- Assist with special projects, research, and strategic initiatives as assigned
- Monitor deadlines and deliverables to support executive priorities
Administrative & Operational Support
- Maintain organized filing systems (digital and physical)
- Manage expenses, invoices, and budget tracking related to the executive office
