## Title: Confidential Secretary

Position Overview

Key Responsibilities

  • Maintain and organize confidential files (both paper and digital)
  • Draft, format and proofread official correspondence and reports
  • Handle sensitive patient and staff information with discretion
  • Assist in preparing medical and administrative reports
  • Schedule appointments, meetings, and travel arrangements for the Chief Medical Director
  • Take minutes during meetings and ensure timely distribution
  • Perform other clerical and administrative assistant duties as directed

Qualifications and Requirements

  • Minimum academic qualification of a National Diploma in Secretarial Studies, Business Administration, or related field
  • Minimum of 2 years of proven work experience as a confidential secretary, personal assistant, or similar role
  • Proficiency in Microsoft Office application tools
  • Ability to pay attention to detail
  • Professional attitude and appearance
  • Excellent written and verbal communication skills
  • Trustworthy and capable of handling sensitive medical and administrative information
  • Resourceful and proactive approach to problem-solving
  • Excellent organizational skills
