## Title: Administrative and Office Support Officer
About the Role
We are seeking a proactive and highly organized Administrative and Office Support Officer to manage the day-to-day administrative operations of our office. This role is crucial for ensuring efficiency across all departments and providing essential support to management and staff.
Key Responsibilities
Office Administration & Management
- Manage and maintain the office environment, ensuring it is clean, organized, and adequately stocked with necessary supplies (stationery, consumables, etc.)
- Oversee the efficient use and maintenance of office equipment such as photocopiers, printers, and communication systems
- Manage the office budget for supplies, utilities, and general maintenance, ensuring cost-effectiveness
Communication and Correspondence
- Manage incoming and outgoing communication, including answering and routing phone calls, handling emails, and managing postal mail
- Maintain organized physical and electronic filing systems for company documents, records, and correspondence
- Draft, format, and review internal memos, reports, and official company letters
Executive and Staff Support
- Schedule and coordinate meetings, appointments, and travel arrangements for management and staff
- Prepare necessary documentation and logistics for meetings (e.g., setting up projectors, preparing refreshments)
- Assist with basic HR administrative tasks, such as maintaining staff records and coordinating onboarding logistics for new hires
Data Entry and Documentation
- Perform accurate and timely data entry and maintain updated databases
- Assist the accounting team with basic documentation tasks, such as processing petty cash and filing receipts
Required Qualifications & Experience
- A minimum of an Ordinary National Diploma (OND) or Higher National Diploma (HND) in Business Administration, Office Technology, Secretarial Studies, or a related field
