## Title: Proposal Manager

Position Overview

Key Responsibilities

Bid Documentation and Preparation

  • Coordinate and prepare responses to pre-qualification invitations
  • Coordinate and prepare responses to tender invitations
  • Prepare quotations and proposals
  • Source material and services pricing
  • Conduct post-bid and tender evaluations
  • File and maintain all bid and tender documents
  • Analyse RFTs and RFQs to determine company capability, competence, and management interest
  • Prepare pre-calculation sheets for finance department approval before client submission

Order Processing

  • Participate in pre-contract activities including negotiation, reviews, and discount management
  • Ensure all documents are available to the ordering desk
  • Prepare post-award analysis for projects
  • Source vendor pricing
  • Manage order placement
  • Monitor logistics and order deliveries
  • Monitor project budgets through completion

Vendor Registration

  • Collate documents for company registration as contractors with other organizations
  • Register all enquiries in the Bid Register with unique identification numbers

Vendor Management

  • Develop strategic alliances with viable OEMs
  • Maintain vendor and price database
  • Negotiate prices with vendors
  • Document and register vendors

Required Qualifications

Education

  • Bachelor's Degree
  • PGD (Postgraduate Diploma)
  • MBA (preferred)

Professional Certification

  • Chartered Institute of Purchasing and Supply (CIPS) Membership
