Operations Officer at Vantegral Consulting

Job Summary

We are seeking a motivated Operations Officer to join Vantegral Consulting and support daily office, leasing, and property management procedures. The successful candidate will serve as the primary point of contact for employees, tenants, agents, lawyers, and clients, providing comprehensive administrative support and resolving queries efficiently.

Key Responsibilities

• Develop and implement new administrative systems, including records management of property portfolio, expenditure tracking, and vendor/client contact information
• Record expenditure and manage office and project budgets and finances, including preparing financial reports
• Prepare weekly and monthly reports on work-related activities
• Organize filing systems for important and confidential company documents
• Handle administrative tasks such as reviewing important and confidential agreements between the company and clients
• Vet, negotiate, and ensure prompt payment of bills to relevant bodies, authorities, and vendors
• Develop and consistently update efficient tracking systems for tenant lease agreements, including expiry dates, renewal dates, and pricing updates
• Conduct office supplies inventory and ensure necessary stock levels while maintaining office equipment
• Create and manage databases of contact details for clients, vendors, and service providers
• Manage relationships with contractors and service providers
• Maintain office condition and arrange for necessary repairs
• Carry out staff recruitment, onboarding, and exit processes
• Promote staff development and training initiatives
• Demonstrate knowledge of the company's property portfolios, including occupancy status, rental market situations, and market rates
• Manage full property leasing procedures with potential clients, agents, and lawyers to ensure proper due diligence before tenant acquisition
