Job Purpose

The Fleet Officer plays a vital role in ensuring the smooth operations and maintenance of the fleet of vehicles in the company.

Key Responsibilities

• Maintain meticulous records on fleet operations, vehicle maintenance, and fuel consumption
• Regularly schedule and conduct site visits to clients' and vehicle locations, reviewing and assessing on-site driver and vehicle activities to ensure compliance and service quality
• Effectively manage vehicle-related complaints by receiving, documenting, and promptly liaising with the maintenance unit to initiate necessary checks and repairs
• Receive, coordinate, and plan job requests from the Marketing team, ensuring efficient and timely dispatch of resources to meet service requirements
• Collaborate closely with the Maintenance Team to oversee vehicle repairs, ensuring prompt execution and timely return of vehicles to rental-ready status while minimizing downtime
• Maintain a fleet of backup vehicles to cover breakdown periods, ensuring timely return of standby vehicles upon repair completion and certification
• Efficiently manage vehicle dispatch and maintain an accurate Daily Dispatch Record
• Oversee proper fuel management for all vehicles, including reloading fuel cards for client vehicles as per approved fuel budgets to ensure constant availability
• Conduct daily verification of the fuel portal to confirm fuel purchases as reported by drivers, flagging unauthorized fuel card usage and analyzing fuel consumption to track purchases and usage patterns
• Initiate requests for accessories required for fleet vehicles and follow up with the Admin team to facilitate timely procurement
• Ensure optimal and cost-effective deployment of drivers to suitable locations, meeting the company's operational goals
• Promptly report all vehicle incidents and accidents to the relevant team or platform
