Job Purpose
- The Executive Assistant (EA) to the Director provides high-level administrative, organisational, and confidential support to ensure the smooth and effective operation of the Director’s office.
- The role requires professionalism, discretion, initiative, and the ability to manage multiple priorities in a dynamic school environment.
- Provide comprehensive administrative support to the Director, including diary management, scheduling meetings, and coordinating appointments.
- Prepare correspondence, reports, presentations, briefs, and official documents as required.
- Manage the Director’s emails, phone calls, and official communications, ensuring timely follow-up and responses.
- Maintain accurate records, files, and documentation, both electronic and hard copy.
- Act as the first point of contact between the Director and internal/external stakeholders, including staff, parents, board members, partners, and visitors.
- Coordinate meetings, events, and official functions involving the Director, including logistics, agendas, and minutes where required.
- Support communication flow between the Director’s office and other departments.
- Handle sensitive and confidential information with the highest level of discretion and integrity.
- Uphold the Academy’s values, policies, and safeguarding standards at all times.
- Assist with monitoring deadlines, tracking action points, and ensuring follow-through on decisions made by the Director.
- Support planning and organisation of strategic initiatives and school projects led by the Director.
- Perform any other duties reasonably assigned to support the effective functioning of the Director’s office.
- Minimum of a Bachelor’s degree in Business Administration, Office Management, Secretarial Studies, or a related field.
- Proven 3 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role (experience in a school or educational setting is an advantage).
- Excellent written and verbal communication skills.
- Strong organisational and time-management skills with attention to detail.
- High level of computer literacy (Microsoft Office / Google Workspace).
