Role Overview
Omenka Industries is seeking a detail-oriented and highly organized Administrative Assistant to support daily office operations and ensure accurate administrative and inventory records.
This role is critical to the smooth functioning of our lubricants distribution business, requiring someone who can manage documentation, coordinate internally, and maintain accurate inventory tracking across office and depot operations.
The ideal candidate is reliable, structured, proactive, and numerate, with strong attention to detail and the ability to work in a fast-paced operational environment.
Key Responsibilities
Administrative & Office Support
- Handle day-to-day administrative tasks and office coordination
- Manage incoming and outgoing correspondence (emails, calls, documents)
- Prepare and maintain reports, memos, invoices, and official documents
- Schedule meetings and assist with internal coordination
- Maintain proper filing (digital and physical) of company records
Inventory & Stock Management
- Maintain accurate inventory records for lubricants and related products
- Track stock levels, receipts, issues, and balances
- Update inventory logs and reconcile physical stock with records
- Flag low stock levels and support timely re-ordering
- Assist in periodic stock counts and audits
- Coordinate with warehouse and depot personnel on stock movement
- Ensure proper documentation for deliveries, dispatches, and transfers
Sales & Operations Support
- Support sales and operations teams with documentation and records
- Assist in preparing delivery notes, waybills, and stock release documents
- Monitor order processing and follow up on pending requests
- Maintain customer and supplier records
Compliance & Documentation
- Ensure accurate record-keeping in line with company policies
- Support documentation required for regulatory, supplier, or partner reviews
