Position Overview

We are seeking a highly organized and proactive Administrative Assistant to support our Admin Manager in keeping our office operations running smoothly. You will play a vital role in ensuring our office operations, procurement processes, and team coordination are as efficient as the tools we build.

Key Responsibilities

  • General Administration: Assist the Admin Manager in daily office operations, including filing, record-keeping, and maintaining an organized digital and physical workspace
  • Scheduling & Coordination: Manage calendars, coordinate internal meetings between software and hardware teams, and organize travel arrangements for field testing or client demonstrations
  • Procurement Support: Assist in sourcing and tracking orders for engineering components, office supplies, and prototype materials
  • Document Management: Prepare and format technical reports, project proposals, and internal memos
  • Communication Hub: Act as a point of contact for vendors and service providers; manage incoming inquiries via email and phone
  • Facility & Logistics: Oversee the shipping and receiving of equipment prototypes and ensure the lab/office environment meets safety and cleanliness standards
  • Event Planning: Assist in organizing team-building events, workshops, and product launch celebrations

Requirements & Qualifications

  • Education: High school diploma required; Associate's or Bachelor's degree preferred
  • Experience: 1–2 years of experience in an administrative or office support role (experience in a tech startup is a plus)
  • Tech Proficiency: Proficiency in Microsoft Office 365 or Google Workspace. Experience with project management tools (such as Jira, Trello, or Asana) is a bonus
  • Organizational Skills: Exceptional time-management skills and the ability to prioritize tasks in a high-pressure environment
