Role Summary
The Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional atmosphere. They handle incoming calls, manage front desk operations, and perform various administrative duties to support the smooth functioning of the organization.
Education & Qualifications
- Diploma in Business Administration or equivalent
- Additional qualifications in Office Administration (preferred)
Experience & Skills Required
- Proven work experience as a Receptionist, Front Office Representative, or similar role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong verbal and written communication skills
- Excellent organizational and multitasking abilities
- Experience with office equipment (printers, fax machines, phone systems)
- Knowledge of administrative and clerical procedures
- Familiarity with scheduling and appointment management tools
Key Responsibilities
- Handle visitors in a professional and friendly manner
- Answer, screen, and forward incoming phone calls
- Maintain the reception area, ensuring it is tidy and presentable
- Receive, sort, and distribute daily mail and deliveries
- Schedule appointments and maintain calendars
- Assist with administrative tasks such as data entry, filing, photocopying, and scanning
- Provide basic and accurate information in person and via phone/email
- Monitor office supplies and place orders when necessary
- Maintain visitor logs
- Coordinate with internal departments and support staff as required
