## Title: Receptionist

Role Summary

The Receptionist serves as the first point of contact for visitors and clients, providing a welcoming and professional atmosphere. They handle incoming calls, manage front desk operations, and perform various administrative duties to support the smooth functioning of the organization.

Education & Qualifications

  • Diploma in Business Administration or equivalent
  • Additional qualifications in Office Administration (preferred)

Experience & Skills Required

  • Proven work experience as a Receptionist, Front Office Representative, or similar role
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong verbal and written communication skills
  • Excellent organizational and multitasking abilities
  • Experience with office equipment (printers, fax machines, phone systems)
  • Knowledge of administrative and clerical procedures
  • Familiarity with scheduling and appointment management tools

Key Responsibilities

  • Handle visitors in a professional and friendly manner
  • Answer, screen, and forward incoming phone calls
  • Maintain the reception area, ensuring it is tidy and presentable
  • Receive, sort, and distribute daily mail and deliveries
  • Schedule appointments and maintain calendars
  • Assist with administrative tasks such as data entry, filing, photocopying, and scanning
  • Provide basic and accurate information in person and via phone/email
  • Monitor office supplies and place orders when necessary
  • Maintain visitor logs
  • Coordinate with internal departments and support staff as required
