About the Role
A reputable full-service medium-sized law firm with diverse practice areas including litigation, real estate, corporate, and estates is seeking an efficient and dedicated individual to join their administration team. This position is integral to ensuring smooth daily operations across the firm.
Core Responsibilities
- Oversee day-to-day administrative operations to ensure the office functions optimally
- Maintain accurate staff attendance records and office library registers
- Manage telephone switchboard operations, receiving and responding to calls professionally
- Facilitate timely communication between advocates and their personal assistants, conveying relevant emails and calls
- Scan and process all incoming documents according to firm procedures
- Ensure timely dispatch of documents, follow up on invoices, and track payments
- Prepare and write vouchers and manage petty cash administration
- Monitor office cleaning, hygiene, and sanitation standards
- Organize and manage appointment scheduling, meeting coordination, and calendar management for partners and staff
- Prepare meeting briefs, minutes, and reports in a timely manner
- Handle reception duties and corporate communications via telephone, email, and online platforms
- Process and manage mail and corporate communications appropriately
- Provide secretarial support including typing and document drafting as required
- Oversee administrative budgets and follow up on resource utilization reports
- Ensure timely payment of firm subscriptions and bills
- Coordinate logistical arrangements for partners and office activities
