About the Role

We are seeking a qualified candidate to fill the position of Depot Assistant. This role is responsible for managing depot operations, inventory control, financial reconciliation, and customer account management.

Key Responsibilities

• Receive orders for salesmen and distributors through the RSM, and in liaison with Credit Control, authorize release of orders after verifying creditworthiness and printing invoices
• Follow the FIFO (First In First Out) principle when dispatching to the market, unless otherwise advised by the Quality Assurance Department
• Reconcile direct salesmen accounts for both cash and stocks, ensuring no account accumulation
• Maintain physical stock accountability with zero stock loss by managing the stock dashboard and updating the Syspro system to reflect correct depot stock status
• Manage returns by vetting returns in the depot and recommending disposals to the RSM
• Confirm payments made by salesmen against printed bank statements
• Ensure payments are properly allocated and posted to correct accounts when received
• Verify accuracy of invoices before posting to relevant accounts
• Manage petty cash payments and balances in the depot, ensuring no losses
• Verify all incoming milk supply contract forms before remitting them to head office for system account creation
• Provide weekly and monthly reporting to the Depot Assistant on depot activities
• Prepare and dispatch statements to customers as their credit periods are due
• Collect cheques from the market and customers, and arrange subsequent deposits
• Manage direct cash sales at the depot
• Prepare all depot-related reports for administration and cost control sections
• Verify yellow copies for key accounts and supermarkets when collected by area representatives and salesmen
• Manage fueling and maintain mileage records for all trucks in the region
• Provide the RSM with updated aging customer debt information
