About the Role
The Accounts & Administration Assistant will support day-to-day financial operations and provide administrative support to ensure smooth office and business operations. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks efficiently.
Key Responsibilities
- Maintain and update the status of accounts receivables and payables
- Reconcile all bank accounts and resolve issues in processing financial statements
- Record and reconcile payments, petty cash, and expenses
- Receive and verify bills and requisitions for goods and services
- Prepare, send, and store records of invoices on time
- Contact clients to update them about balance payments
- Prepare and submit tax forms and their filings
- Update internal accounting databases and spreadsheets
- Evaluate agreements and invoices, and organize customer contracts
- Analyze transactions against financial policies and procedures
- Maintain and manage monthly journals, update entries, and maintain sub-ledger
- Prepare all cash flow reports and data
- Create and manage daily paperwork for mailing and invoicing
- Prepare records of meeting minutes
- Apply for licenses and permits with relevant authorities
- Take stock of office supplies and place orders as necessary
- Direct marketers, clients, and third-party vendors regarding their responsibilities
- Maintain efficient client services
- Assist with audit activities
- Offer support to team members as needed
- Perform additional duties as assigned by management
