About the Role
The Accounting and Administration Officer is a post-entry-level position at Possibilities Africa Kenya Limited. Based at the Head Office, this role serves the Executive Director's office and interfaces with different teams to ensure proper accounting, administration, and reporting procedures. You will work closely with budget holders and an external Finance Service Provider to coordinate financial operations and enhance organizational efficiency.
Key Responsibilities
- Provide support to relevant offices in coordinating accounting and administrative interactions across various teams
- Process Head Office cash and cheque requests, and handle pre-authorized bank transactions
- Review procurement requests to ensure alignment with organizational procurement policies and guidelines, while identifying and addressing policy gaps and risks
- Identify, receive, acquire, organize, and track the validity of official and important organizational records, documents, certificates, reports, statutory information, receipts, and other valuable materials related to HR, Finance, Legal registration, statutory compliance, contracts, payables, and receivables
- Ensure proper storage and management of organizational records and documents
- Manage office assets including computers, electronics, equipment, vehicles, furniture, and consumables
- Maintain comprehensive asset inventory lists with regular updates on new acquisitions, depreciation, disposals, repairs, and asset tracking measures
- Work with outsourced accountants and budget holders to prepare management accounts for the Executive Director's use
- Provide spending and impact analysis to support decision-making
