Job description
## Title: Manager of Administration, Procurement and Facilities
Job Purpose
Drive the functionality of the Administration Department to ensure efficient and effective service delivery and support to all internal and external customers.
Key Responsibilities
- Implement department projects to ensure optimum and effective utilization of department budget
- Provide effective guidance to Administration Units for the successful accomplishment of tasks and activities related to their units
- Share Administration-related MIS reports with top management to facilitate the decision-making process
- Ensure timely maintenance and renovations are carried out for all running and new premises and projects (Branches, Departments) across the Bank
- Monitor all types of purchases and services on behalf of the Bank in accordance with operating manuals, Sharia principles, and organizational policies and procedures
- Take necessary measures to maintain successful safety and security across all Bank premises
- Monitor the centralized payment system to ensure proper control of expenses within the organization
- Provide effective data services setup across DIB departments
- Verify effective Document Management Services across the Bank
- Supervise and control various Administration Functions including Facility Management, Stores Management, Business Travel Planning, Passport and Visa Handling, Public Relations Activities, Mailing Services, Event Management, and Fixed Assets Management to ensure smooth Bank operations
- Serve as authorized signatory and custodian of all service contracts and lease agreements for premises, ATMs, and CDMs following approval from Sharia and Legal Departments
- Ensure smooth communication with the Central Bank and other government bodies on behalf of the Bank
- Coordinate with relevant departments including Group Internal Audit, Risk Management, and Insurance Companies for the signing of insurance contracts for premises and fraud coverage
