## Title: Project Administrative Assistant

About the Role

We are seeking a dynamic and organized Project Administrative Assistant to join our expanding team. This role provides comprehensive administrative support to ensure smooth operations and effective project delivery.

Key Responsibilities

  • Maintain and manage office calendars and activity schedules
  • Arrange travel and accommodation, prepare travel documents, and create budgets for workshops and meetings
  • Coordinate physical and virtual meetings, workshops, and conferences
  • Provide administrative support including drafting correspondence and preparing meeting documents
  • Produce reports, minutes, and documentation for dissemination to stakeholders and partners
  • Maintain and update stakeholder inventory and liaise with relevant sector associations
  • Manage filing systems and electronic archives with accurate indexing
  • Keep records of project staff contracts
  • Support procurement activities and financial matters in collaboration with procurement and finance teams
  • Assist in preparing reports, presentations, statistics, tables, lists, and diagrams
  • Monitor documentation completeness and timeliness for report development
  • Follow up on progress of outsourced studies and consultant deliverables
  • Manage mail dispatch and receipt (including emails and faxes) with accurate communication records
  • Coordinate equipment procurement, maintenance, and inventory management
  • Perform additional duties as assigned by supervisor

Required Qualifications

  • Bachelor's degree in Administration or related discipline, including procurement
