Depot Assistant at Janta Kenya

About the Role

We are looking for a qualified candidate to fill this Depot Assistant position. You will be responsible for managing depot operations, inventory control, financial transactions, and customer account management.

Key Responsibilities

• Receive orders from salesmen and distributors through the RSM, and coordinate with Credit Control to authorize order release after verifying customer creditworthiness and printing invoices
• Dispatch products to the market following the FIFO (First In First Out) principle unless otherwise directed by the Quality Assurance Department
• Reconcile accounts for direct salesmen covering both cash and stock, ensuring no account accumulation
• Maintain accurate physical stock records with zero stock loss by managing the stock dashboard and updating the Syspro system to reflect correct depot stock status
• Manage returns by vetting returned items in the depot and recommending disposals to the RSM
• Confirm all salesman payments against printed bank statements
• Ensure payments are properly allocated and posted to the correct accounts when received
• Verify accuracy of invoices before posting to relevant accounts
• Manage petty cash payments and balances in the depot with no losses
• Verify all incoming milk supply contract forms before submitting them to head office for system account creation
• Prepare and dispatch customer statements when credit periods are due
• Collect cheques from the market and customers, and process subsequent deposits
• Handle direct cash sales at the depot
• Prepare all depot-related reports for administration and cost control sections
• Verify yellow copies from key accounts and supermarkets when collected by area representatives or salesmen
• Manage fueling and maintain mileage records for all trucks in the region
• Provide the RSM with updated ageing customer debt reports
• Report weekly and monthly to the Depot Assistant Manager on all depot activities
