## Title: Certification Officer

About the Role

A reputable organization seeks a dedicated individual to serve as a Certification Officer. In this role, you will be the main point of contact for all client communications regarding certification matters and will manage the end-to-end certification process.

Key Responsibilities

  • Serve as the primary point of contact for all client communications regarding certification matters
  • Liaise and follow up on prospective audits with clients, ensuring timely conversion to business before certification and/or license expiry
  • Manage the application process by receiving applications, liaising with scheme managers for approvals, and confirming audit dates with clients
  • Issue clients with necessary contracts and sublicense agreements, ensuring all documents are signed before engagement
  • Coordinate with the Finance Team to provide all information necessary for quote generation
  • Manage and update the audit calendar on a weekly basis, including prospective, tentative, and confirmed audits
  • Generate and dispatch audit plans to clients
  • Dispatch prerequisite documents to audit teams ahead of field mobilization
  • Consistently adhere to scheme protocols regarding application and registration processes to maintain AfriCert's accreditation
  • Provide oversight of certification activities in satellite offices
  • Maintain an up-to-date database of all active and inactive clients
  • Actively participate in business development activities with emphasis on client follow-up
  • Prompt certification holders three months before license/certificate expiry

  • Accurate and timely accomplishment of planning tasks
  • Full compliance with company policies and Standard Operating Procedures

  • Proper archiving of audit documents
  • 100% client retention and onboarding of 10 new clients year-on-year

Requirements

  • Familiarity with the quality manual, internal operating standards, and finance policy
  • Strong organizational and time management skills
  • Excellent communication and interpersonal abilities
  • Ability to manage multiple priorities and meet deadlines
