Job Summary
The successful candidate will join as an Admin and Travel Coordinator in the Supply Chain Department. The role reports to the Fleet Manager and oversees all aspects of the company's travel needs in line with company policies and procedures by enforcing compliance and budgetary adherence.
Key Responsibilities
- Arrange travel reservations for all HQ requests and coordinate travel logistics
- Resolve staff travel issues and troubleshoot unforeseen delays
- Identify opportunities and offer suggestions to improve travel processes
- Manage hotel reservations, including pre-payment of room and taxes
- Confirm lowest logical hotel booking rates
- Prepare monthly reporting on travel and lodging expenses
- Assist in negotiation of travel service provider contracts and ensure compliance
- Manage recruitment, onboarding, and administration of Travel Management partners
- Make recommendations for service enhancements and initiate process, procedure, and policy improvements
- Manage external visitors to the office, including preparing meeting rooms and videoconferencing services
- Review travel claims and supporting documentation for completeness, accuracy, validity, and conformity with approval and budget requirements
- Coordinate with the finance section regarding reimbursement of travel and timely review of claims and documentation
- Coordinate partner payments with the finance section
- Ensure service excellence within the admin section to deliver customer service and satisfaction for stakeholders
