## Title: Admin and Travel Coordinator

Position Overview

Join our Supply Chain Department as an Admin and Travel Coordinator. This position offers excellent career growth opportunities while you oversee all aspects of the company's travel needs in line with company policies and procedures. You will report to the Fleet Manager and ensure compliance and budgetary adherence across all travel operations.

Key Responsibilities

  • Arrange travel reservations for all HQ requests and coordinate travel logistics
  • Troubleshoot and resolve staff travel issues, including unforeseen delays
  • Manage hotel reservations, including pre-payment of rooms and taxes
  • Identify and confirm the lowest logical hotel booking rates
  • Prepare and submit monthly reports on travel and lodging expenses
  • Assist in negotiating travel service provider contracts on behalf of the company and ensure compliance
  • Manage recruitment, onboarding, and administration of Travel Management partners
  • Review travel claims and supporting documentation for completeness, accuracy, validity, and conformity with approval and budget requirements
  • Coordinate with the Finance section regarding reimbursement of travel expenses and timely review of claims
  • Coordinate partner payments and ensure timely processing
  • Manage external visitors to the office, including preparing meeting rooms and videoconferencing services
  • Recommend service enhancements and initiate process, procedure, and policy improvements
  • Ensure service excellence and customer satisfaction for all stakeholders
  • Support additional duties within the Admin Function as assigned
